Every KitoraSports order goes through a free design approval process before a single item enters production. This page explains exactly what that process involves, what your approval means, and what protections you have at every stage. We want you to feel completely confident before you give the go-ahead.

What the free design includes

When you submit a quote request, our design team builds a full custom uniform mockup at no charge. This is not a rough sketch or a generic template with your name dropped in. It is a complete digital proof of your actual kit.

Your free design mockup includes:

  • Front view of the jersey with all colours, panels, and design elements
  • Back view showing player name font, position, and number size and placement
  • Sleeve and collar detail, if your design includes these elements
  • Your club or school logo is placed exactly where you specified
  • Sponsor badge placement, if applicable
  • Shorts and socks in a matching design if you ordered a full kit

The mockup is sent by email within 24 hours of your initial enquiry. We also send it via WhatsApp so you can share it easily with coaches, parents, or committee members for feedback.

How revisions work

Revisions are unlimited and free. There is no limit on the number of changes you can request before approving the design. We do not charge per revision, and we do not reduce the quality of service after multiple change requests.

Common revision requests we handle every day:

  • Adjusting colour shades to match your exact club colours
  • Moving the logo higher, lower, larger, or smaller
  • Changing the font style or size for player names
  • Adding or removing design elements like stripes, gradients, or patterns
  • Redesigning the layout completely if the first version is not what you had in mind

Note: Each revision is turned around within 24 hours. We keep making changes until you are genuinely happy with the result, not just willing to accept it.

No payment at this stage. The entire design and revision process happens before we ask for payment. You see exactly what your team will receive before you spend a single dollar, pound, or Australian dollar.

What does design approval mean

When you reply with written approval of your design mockup, you are confirming that the design is correct and ready for production. Written approval can be given by email or WhatsApp message. A simple “approved” or “looks good, go ahead” is sufficient.

Your written approval confirms:

  • The colours in the mockup accurately represent what you want on the finished kit
  • All logos, badges, and sponsor artwork are positioned correctly
  • Player names, numbers, and fonts are correct
  • The overall design matches your expectations
  • You authorise KitoraSports to begin production

We treat your written approval as the definitive version of your order. If a detail looks slightly different on screen depending on your device, we always recommend viewing the mockup on a desktop monitor in natural light before approving. If anything looks uncertain, ask us first. We would rather answer one more question than produce a kit you are not fully happy with.

What happens after you approve

Production begins within 24 hours of receiving your written approval and payment confirmation. Once production begins, design changes are not possible because your exact specification is already cut into the sublimation process.

This is standard practice for all custom-manufactured goods globally, not a KitoraSports-specific restriction. The same applies to any print-on-demand, embroidery, or sublimation service worldwide.

One Exception

If you realise you made a mistake in your approval within 2 hours of sending it, contact us immediately. If production has not yet started, we can make the change at no charge. After 2 hours, we cannot guarantee production has not begun.

Your protection after delivery

The design approval process protects both you and us. When your kit arrives, you should receive exactly what you approved. If anything differs from your approved mockup, you are fully protected under our manufacturing guarantee.

We replace or refund in full if:

  • Colours on the finished kit differ noticeably from the approved mockup
  • Logo placement, size, or artwork differs from the approved proof
  • Player names, numbers, or fonts are incorrect relative to your approved list
  • Any item in the order differs materially from what you signed off

Contact us within 14 days of delivery with photos showing the issue. We will arrange a replacement or issue a full refund within 7 business days. No dispute process, no lengthy investigation.

Contact your account manager directly by email or WhatsApp before approving. No question is too small. Catching a detail at the mockup stage costs nothing. Fixing it after production is the situation we both want to avoid.
